ETH-001 Version 1.0 is hereby designated as the active Ethics and Responsible Use Policy for Cognispace, LLC, effective as of the date listed in Document Control. All future revisions must be versioned and recorded in the revision history. Unless explicitly superseded by a later release, this version governs the ethical boundaries, prohibited use cases, human oversight requirements, and governance commitments applicable to all Cognispace systems and deployments.

Ethics & Responsible Use
Cognispace, LLC builds systems that operate at the boundary between human expression and machine analysis. That boundary is not ethically neutral. The decisions we make about how these systems are designed, constrained, deployed, and governed have real consequences for real people.
This Ethics and Responsible Use Policy establishes the foundational principles that guide those decisions, the boundaries that define permissible use, and the governance commitments that hold us accountable to the values we articulate here. It is not a marketing document. It is a statement of obligation.
Foundational Principles
Cognispace builds systems that process human expression, support interpretive workflows, and contribute to enterprise intelligence. That responsibility carries an ethical weight we take seriously. Our approach to responsible use is not a legal formality — it is a foundational design principle embedded in how we build, deploy, and govern our systems.
1.1 Human-Centered Systems
Every system we build is designed around the primacy of human judgment, human dignity, and human agency. Our platforms are tools in service of people — not substitutes for them. Systems that process or interpret human communication must be developed and deployed with deep respect for the individuals whose expression is being analyzed.
1.2 Interpretive Humility
We hold our analytical outputs to a standard of interpretive humility. No system we deploy makes definitive claims about who a person is, what they intend, or what should happen to them as a result of an analysis. Our outputs describe patterns, support understanding, and surface information for human review. They do not determine outcomes.
1.3 Transparency
We are transparent about what our systems do, what they do not do, and where their limitations lie. We do not overstate the capabilities of our systems, claim clinical or scientific authority we do not hold, or obscure the probabilistic nature of our outputs behind language that implies certainty.
1.4 Contextuality
Interpretation requires context. A signal observed in isolation may mean something very different from the same signal understood in its relational, cultural, situational, and communicative context. Our systems are designed with this in mind, and we expect our users to apply the same contextual awareness when interpreting outputs.
1.5 Uncertainty Awareness
Our systems produce outputs that carry inherent uncertainty. We design those outputs to communicate that uncertainty clearly rather than suppress it. Communicating uncertainty honestly is not a limitation — it is the responsible baseline for any interpretive system operating at the intersection of human cognition and machine analysis.
Intended Use Boundaries
Cognispace systems are designed for specific categories of use. Understanding these boundaries is not optional — it is a condition of responsible deployment.
2.1 Communication Support
Our systems may be used to support the analysis, interpretation, and understanding of human communication in enterprise, research, and organizational contexts. This includes applications in dialogue analysis, communicative pattern recognition, and structured interpretation of expressed content.
2.2 Enterprise Intelligence Workflows
Our platforms may be used to support enterprise intelligence functions, including structured reporting, workflow analytics, operational decision support, and organizational knowledge management — where human review and contextual judgment are applied to all consequential outputs.
2.3 Research Workflows
Our systems may be used in academic and applied research contexts where outputs are treated as observational data subject to scholarly review, replication standards, and disciplinary norms. Research use does not exempt users from the ethical requirements of this policy.
2.4 Reflective Systems
Our platforms may be used in coaching, organizational development, and individual reflective practice contexts — where outputs are used to support self-understanding, personal development, and communicative awareness, with appropriate framing and professional guidance.
2.5 Decision Support
Our systems may be used as one input among many in informed human decision-making. They are not designed to replace human judgment in consequential contexts, and they must not be deployed as if they do.
Prohibited Use Cases
The following uses of Cognispace systems are expressly prohibited. These prohibitions are not exhaustive — they reflect the most critical boundaries given the nature of our systems and the populations they may affect. Users who are uncertain whether a specific use falls within permitted boundaries should contact Cognispace before proceeding.
3.1 Clinical and Diagnostic Use
Cognispace systems must not be used to diagnose, assess, or make clinical determinations regarding any individual’s psychological condition, mental health status, neurological function, or medical condition. Our outputs do not constitute clinical assessments and must not be presented or relied upon as such. This prohibition applies regardless of the professional qualifications of the user.
3.2 Psychological Profiling
Our systems must not be used to construct psychological profiles of individuals for purposes of categorization, classification, or targeting — whether in commercial, institutional, law enforcement, or personal contexts. Deriving inferences about personality, character, or psychological type from our outputs and applying those inferences to make decisions about individuals is prohibited.
3.3 Discriminatory Employment Decisions
Cognispace systems must not be used to inform employment decisions — including hiring, termination, promotion, compensation, or disciplinary action — based on outputs that draw inferences about protected characteristics, personality traits, or cognitive patterns. Employment decisions made on the basis of our outputs, without substantial independent human assessment and legal review, are prohibited.
3.4 Legal and Punitive Scoring
Our systems must not be used to support legal sentencing, parole determinations, bail assessments, criminal risk scoring, or any punitive decision-making framework. The probabilistic and interpretive nature of our outputs is fundamentally incompatible with the evidentiary standards required for such determinations.
3.5 Surveillance Misuse
Cognispace systems must not be used to conduct unauthorized surveillance of individuals, to monitor people without their knowledge or lawful justification, or to support covert tracking of communicative behavior at scale. Surveillance applications require explicit legal authority, institutional accountability, and individual notification frameworks that our systems are not designed to provide.
3.6 Identity-Based Classification
Our systems must not be used to classify individuals by race, ethnicity, national origin, religion, gender identity, sexual orientation, disability status, or other protected characteristics on the basis of communicative patterns or behavioral signals. Such classification would misrepresent the nature of our outputs and produce results that are both scientifically unjustified and ethically impermissible.
3.7 Manipulative Persuasion Systems
Cognispace systems must not be used to design, optimize, or deploy manipulative persuasion systems — including systems intended to exploit cognitive vulnerabilities, behavioral biases, or emotional states to influence individuals without their awareness or genuine consent.
3.8 Harmful Social Engineering
Our systems must not be used to support social engineering campaigns, deceptive impersonation, or any effort to exploit communicative analysis for the purpose of deceiving or manipulating individuals into disclosing information, taking actions against their interests, or surrendering rights or resources.
Human Oversight Requirement
Cognispace holds a firm and non-negotiable position: no output produced by our systems should be used as the sole basis for a consequential decision affecting any individual. This is not a suggestion — it is a condition of use.
4.1 The Requirement
Qualified human review must be applied before any output generated by Cognispace systems is used to inform decisions that affect employment, legal status, clinical care, educational opportunity, financial access, or any other domain where the outcome materially affects an individual’s rights, safety, welfare, or opportunities.
Qualified review means review by a person with the domain expertise necessary to evaluate the output in context — not simply the act of a person acknowledging a result before acting on it. The presence of a human in the workflow is necessary but not sufficient. The quality of that human judgment is what matters.
4.2 Rationale
This requirement exists because our systems are interpretive tools, not oracles. They surface patterns and observations that are probabilistic, contextual, and subject to the limitations of the data and methods underlying them. Those limitations do not disappear when an output is displayed on a screen. They require human expertise to navigate responsibly.
4.3 Enterprise Responsibility
Enterprise customers and institutional users bear responsibility for ensuring that human oversight requirements are built into their operational workflows. Cognispace will not accept liability for harms resulting from the deployment of our outputs without adequate human review, and we reserve the right to terminate access to users whose deployment practices violate this requirement.
Uncertainty and Interpretive Limits
The interpretive systems we build operate at the boundary between observed signal and inferred meaning. That boundary is always uncertain. We design our systems to make that uncertainty legible, and we expect our users to treat it as essential information rather than noise to be discarded.
5.1 Descriptive, Not Definitive
Our outputs describe what is observable and what patterns may be present. They do not determine what is true about a person. A system that identifies a communicative pattern is reporting an observation — not issuing a verdict. Users must internalize this distinction before deploying our systems in any context.
5.2 Probabilistic
Our analytical outputs carry inherent probabilistic uncertainty. Confidence indicators and interpretive scores reflect likelihood, not certainty. Higher confidence values do not mean an observation is correct — they mean it is more consistent with the patterns our system was designed to detect. That is not the same thing.
5.3 Contextual
Our systems analyze what is submitted to them. They do not have access to the full context of a person’s life, history, circumstances, or intentions. Outputs produced without that full context must be interpreted with commensurate caution. Users are responsible for supplying the contextual judgment that our systems cannot.
5.4 Not Truth Claims
We do not represent our outputs as ground truth. We do not allow our systems to produce language that implies definitiveness about individual character, internal states, or psychological reality. Language that overstates the authority of our outputs is inconsistent with our values and our governance commitments, and it is prohibited in any user-facing application of our systems.
Fairness and Bias Controls
Cognispace acknowledges that any system trained on or applied to human communicative behavior will reflect the patterns embedded in that behavior — including patterns that encode social inequity, historical bias, and demographic disparity. We take this seriously as an ongoing design and governance challenge, not a solved problem.
6.1 Monitoring
We monitor the outputs of our systems for patterns that may indicate differential performance across demographic groups, communicative styles, cultural contexts, or linguistic backgrounds. Monitoring is treated as a continuous obligation, not a one-time validation exercise.
6.2 Review
Identified fairness concerns are escalated to a review process that includes input from relevant domain expertise. Review outcomes are documented and tracked. Where review confirms a material fairness concern, it is treated as a priority remediation item.
6.3 Governance Checkpoints
Significant system updates, new deployment contexts, and material changes to analytical scope are subject to fairness review as part of our development governance process. Fairness assessment is not deferred until after deployment — it is part of the release criteria.
6.4 Escalation
Users who observe outputs that appear to exhibit bias or differential treatment across groups are encouraged to report those observations through designated feedback channels. Reports are treated seriously and reviewed promptly. We do not dismiss fairness concerns raised by users.
Data Stewardship Ethics
The ethical obligations of data stewardship extend beyond legal compliance. We treat the information processed by our systems as entrusted to us for a specific purpose — and that purpose defines the limits of how it should be handled.
7.1 Privacy Alignment
All data handling practices at Cognispace are aligned with our Privacy Policy and applicable privacy law. Privacy is not a compliance obligation we satisfy — it is a value we uphold.
7.2 Data Minimization
We collect and process the minimum data necessary to deliver the functionality requested. Analytical depth is not a justification for collecting more data than a workflow requires. Users and enterprise customers are encouraged to apply data minimization principles within their own configurations and workflows.
7.3 Retention Responsibility
Data should not be retained beyond its useful purpose. Cognispace’s retention practices reflect this principle. We expect enterprise customers and users who manage their own data governance to apply the same standard — retaining information only as long as it serves a legitimate, documented purpose.
7.4 Least Exposure
Sensitive information should be exposed to the fewest systems and people necessary to accomplish the intended purpose. This principle applies to how we architect our own systems and to how we expect enterprise customers to configure access controls within their managed environments.
Governance and Review
Ethical commitments are only meaningful if they are maintained over time and tested against real conditions. Cognispace treats this policy as a living governance instrument, not a static declaration.
8.1 Periodic Review
This policy is reviewed on a scheduled basis to assess its continued alignment with the capabilities of our systems, the conditions of their deployment, emerging research on the ethics of interpretive technology, and changes in applicable regulatory standards. Review outcomes are documented and reflected in updated versions of this policy.
8.2 Policy Updates
Material changes to this policy are versioned and communicated in accordance with our standard governance practices. Changes that narrow permitted use cases or impose new restrictions take effect upon publication. Changes that expand permitted use cases are subject to additional review before taking effect.
8.3 Ethics Escalation
Cognispace maintains an internal channel for escalating ethical concerns related to system behavior, deployment practices, or policy application. Team members, users, and enterprise customers who observe practices they believe are inconsistent with this policy are encouraged to raise those concerns. Escalated concerns are reviewed promptly and without retaliation.
